Simple process for operational planning decided by the President

Work is currently underway to develop KI's operational planning in order to facilitate dialogue and follow-up at various levels within the organisation. With the President's decision on guidelines for 2026, this planning is being initiated in various parts of KI's operations.
"A common process for operational planning is an important step in our development of KI. By setting clear goals, establishing common priorities and regularly following up on how the work is progressing, we facilitate understanding of each other's different contributions and strengthen our cooperation. I believe this creates commitment and focus for both the organisation and its employees and management," says President Annika Östman Wernerson.
The operational planning process has been developed within the framework of KI's priority focus areas. The Professional Services (GVS) was first introduced in 2024 with a simple model that has now been adapted for broader use at KI.
A process that promotes collaboration and dialogue
"Planning and follow-up should link the questions 'Where are we going?' and 'How are we doing?'. This lays a good foundation for the dialogue-based working methods and collaboration we are striving for", says Annika Östman Wernerson.
The President's instructions for 2026 state that operational planning should be coordinated within departmental groups, at each department, within GVS and in the Faculty Board. The operational plans should briefly, in a maximum of two A4 pages, answer how the President's assignments will be handled, what other initiatives are planned in the operations for 2026, and how identified risks will be managed. The plans should be documented in the designated template by 30 January 2026 at the latest.
Follow-up takes place every four months and is based on dialogue – both within departmental groups and between the President, deans and University Director. The aim is to follow up on initiatives, highlight challenges, learn from each other and contribute to KI's long-term development through efficient use of resources, continuous improvement and compliance with regulatory requirements.
President's instructions for operational planning 2026
The instructions contain areas that are general and that everyone must relate to. They are often influenced by external requirements imposed on KI by the government and relevant laws and regulations, but may also depend on internal requirements for KI's long-term planning in the form of vision, strategy, budget documentation and planning conditions.
There are also a number of areas under the heading "Assignments" that are mandatory to include in the planning and which will be followed up.
Key areas in this year's guidelines
The guidelines are based on KI's Strategy 2030 and highlight, among other things:
- the conditions for research and education
- collaboration and internationalisation
- resources and systematic quality work
- work environment, skills supply and equal opportunities
- security, preparedness, digitalisation and AI.
The Faculty Board has been given a specific assignment to establish, lead and develop the forms for a KI-wide faculty forum as part of the new structure for collegial councils and committees.
