KI Data Repository – a service for making research data accessible and preserving it

Karolinska Institutet now has its own institutional repository for the dissemination and long-term preservation of research data – the KI Data Repository. The Data Access Unit at the University Library is the support function that manages and provides support in matters concerning the use of the service.

KI Data Repository is offered to researchers who need to publish or share research data, often in close connection with scientific publishing and in order to meet the requirements of research funders.

The strengths of KI Data Repository are:

  • The repository is quality-assured and sustainable, and makes it possible to provide access both to sensitive data containing personal information and to datasets that can be shared openly.

  • All datasets are stored locally at Karolinska Institutet.

  • Secure and lawful access to research data
KI Data Repository enables the publication of both open and sensitive datasets in accordance with FAIR principles and applicable Swedish legislation.

  • Meets the requirements of journals and research funder.
By providing your project’s dataset with a permanent identifier – a DOI – the KI Data Repository makes it possible to use this in communication with publishers and research funders. The DOI can be included in the Data Availability Statement of your manuscript and when citing. This applies regardless of whether the dataset contains sensitive information such as personal data, or can be published entirely openly.

  • Archiving and long-term preservation
The KI Data Repository also serves as an approved digital archiving solution for the long-term preservation and archiving of published research data.

  • The metadata description is also searchable through the national research data portal researchdata.se.

How does it work?

1) Contact the Data Access Unit 2) Describe your data 3) Data description is reviewed 4) Deposit your dataset 5) The dataset is assigned a preliminary DOI 6) The data description becomes searchable

How does it work if the dataset is requested?

Research data made available in the KI Data Repository may be requested by other researchers, reviewers, or external stakeholders. However, the release of datasets containing protected information requires careful assessment.

The Data Access Unit evaluates access requests in consultation with KI’s legal advisors and the Compliance & Data Office, thereby ensuring that the necessary permits, such as ethical approval, are in place before any data can be released.
