The procurement of a Research Information Management System (RIMS)

The planned procurement process of a Research Information Management System (RIMS) is continuing. The project group has compiled KI’s needs and a requirements and is now in the process of requesting tenders from potential suppliers. The system will create a cohesive support to improve the availability, findability, and management of KI's research information for both internal and external stakeholders. The procurement is expected to be completed in early May 2022

The procurement process

The procurement follows the process Negotiated procedure with prior publication in the Public Procurement Act (LOU). In February, the project team will evaluate the received tenders and then invite to negotiation. The negotiations will take place during March-April and the final decision is planned to early May 2022. The implementation will begin as soon as possible thereafter and the goal is that KI will be able to start using the system by the beginning of 2023.

Requirements

The scope of the tender is a fully developed and operational Research Information Management System (a so-called RIMS) for Karolinska Institutet, to collect, connect, manage, make available, analyze and re-use information related to:  

  • researchers and research groups  
  • research projects and their lifecycle 
  • research funding and its process 
  • research output 

A more detailed list of requirements specifies the functions that will enable the information about KI’s research to be visible and accessible to as many people as possible, but also that it should be possible to limit the access to certain information.

Steering group

An operational steering group for the project has been established. The steering group will secure conditions for a successful procurement and implementation. This can be accomplished by making decisions within the project, by bringing about necessary decisions within other parts of KI or by supporting the project in other ways.

Information and dialogue meeting 

The previously announced information meeting for all staff will be held after the procurement has been completed.
